The role
The Facilities Administrator will manage day to day administrative duties and ensure the smooth running of the Colchester office in partnership with the Office Services Manager.
Key responsibilities
• Handling calls via main switchboard and covering reception for 1 hour per day – agreed lunch time.
• Answering overflow calls for Customer Support
• Changing temperature of building (BMS)
• Parking - weekly allocation, general day to day queries and arranging spaces for visitors
• Dealing with queries regarding faulty photocopiers / drinks machines and placing service calls when necessary
• Filtering and Forwarding faxes from Colchester Fax inbox to relevant people
• Issuing ordering and logging Train tickets
• Making lunch bookings and managing the spreadsheet to keep track of them
• Managing the weekly and monthly stationary orders and ordering – distributing around the building – dealing with general stationary and specific orders and keeping the budget
• Sorting and handing out the incoming post in the morning and franking the outgoing post in the afternoon – and organising special deliveries and couriers
• Inductions – Making up the Property Services Induction packs and doing the inductions for new starters
• Booking meeting rooms for staff via Boardroom Bookings, setting up projectors
• In support of the Office Manager liaise with service providers and contractors e.g. cleaners and security.
Person Specification
• Solid experience administration & customer services experience gained within a corporate environment.
• Good IT skills
• Strong communication and interpersonal skills, must be proactive
• Attention to detail, ability to multi-task and strong organisational skills
• Ability to work under pressure and adhere to deadlines
• Adaptable and customer focused
• Experience in Facilities or Property Services would be beneficial.
