Main Purpose of Job:
Once a client has shown interest in travelling abroad for surgery, there will be an amount of sales on your behalf. This would not be sales as in the case of a commodity or product, but gentle caring contact, ensuring the client feels safe and happy with putting their trust in us and ultimately the surgeon. Once people have shown an interest in travelling abroad, it will be necessary to take them to the next stage so that they will be happy to seriously start considering actually travelling with us on a trip. Assisting people to travel for surgery needs a lot of constructive information and client care.
Once they have definitely decided to go ahead, you would then be responsible for arranging the client’s surgery with the Surgeon, assisting in travel arrangements and hotel bookings. Main responsibilities would include trip planning and client liaison before during and after the trip. Travelling abroad for surgery is something that should never be taken lightly and Team work is essential. The clients will be vulnerable and apprehensive, so we must show them empathy care and concern before during and after surgery.
Role:
We all work closely as a Team, although you will be required have to responsible enough to work alone as often other members of staff may be on Trips. As the trip planner you will liaise with clients on a regular basis, as well as the Surgeons, book in their surgery, reserve their hotel, advice on travel arrangements and supply all documents and information in relation to their trip
Duties Include:
Once people have contacted us, it shows a certain amount of desire to have their surgery, it will be part of your job to encourage them to go ahead.
• Perform general administrative duties and provide support to other staff
• Answering general enquires by email and telephone regarding surgery/Dentistry
• Sorting and opening post with documents from clients.
• Sending out information to clients.
• Maintaining record, computer database, and filing systems
• Reserving hotel accommodation for clients
• Advising travel arrangements to clients
• Liaise with clients on all matters of the surgery trip (apart from medical matters)
• Book in surgery with surgeons
• Keep an up to date trip planning spreadsheet of all clients
