Our client is seeking an experienced Administrator to provide an administrative support service to the Production Packaging and Process Team.
Main duties and responsibilities will include:
General Administration ~ Receive and circulate incoming mail, faxes and telephone calls on a rotational basis for the open plan area. Send outgoing faxes, emails and letters. Maintain stationery and ordering, as required. Undertake any administrative tasks to help ensure efficient day to day running of the Department and Company
Department (Production) Administration ~ Create, update and maintain all general correspondence, e-mails, letters, agendas, reports, presentations and other documents using the appropriate Microsoft Office Package. Carry out filing, scanning and photocopying on behalf of the Department. Attend meetings and take minutes as required. Ensure that absences are recorded in the relevant logs, diaries and year planner.
Diary & Travel Management ~ Arrange internal and external meetings, book and confirm meeting rooms and any other associated facilities, including catering, equipment and transport. Book and confirm flights, hotels, ordering of currency and taxis as required for the Department, other Personnel and external associated companies. Diary and Inbox management on behalf of Process Manager.
Data Collation ~ Create and maintain logs for packaging problems, continuous improvements, customer complaints and new pack library. Extract and manipulate data from logs, updates and computer databases to present and display graphically in report format for the Departments Key Performance Indicators.
Document Control ~ Create, assign, amend, track and release Master Packaging Documents and Standard Operating Procedures using the electronic document management system (e-doc Compliance). Create and update Standard Operating Procedures within the Quality paper based system. Notification of released documents to the appropriate departments and contractors including acknowledgement forms with usage instructions. Contribute to the rewriting of Production Packaging Artwork and Process Standard Operating Procedures. Appointed Administrator of the PPCD Sharepoint Site. Design, develop and maintain the site, including the delivery of training to PPCD and other production related personnel.
Order Control Management ~ Raise purchase requisitions for tooling and materials for packaging trials, capital and revenue equipment items and continuous improvement related items. Compile the data for budget control log sheets. Ordering of Flexographic mats using Adobe Acrobat and Illustrator. Complete product material requests and export related documentation to ensure the successful delivery of materials to the desired destination. Raise Maximo requests in relation to continuous improvement items and other departmental/floor requests.
Similar experience in the above areas is required. You will need to be familiar with the whole Microsoft Office suite, particularly good in Word and Excel. You will need to be able to work as part of a small team, but will also be part of a wider administrative team, who are supporting different functions. Confidentiality is key.
